GDPR Privacy Policy

This Privacy Notice details how and why your personal information will be collected and processed by WR Fundraising Recruitment, Registered Office - Weighbridge House. Bay Hog Lane, Poole, Dorset, BH15 1JF in accordance with the General Data Protection Regulation (GDPR).

Our nominated Data Protection Officer is Neil Price, Director.

Legitimate Interest

WR Fundraising Recruitment operates as an Employment Agency as defined in the Employment Agencies and Employment Businesses Regulations 2003 and we collect information about you to carry out core recruitment business either as an applicant or as a prospective applicant for permanent and contract roles.

The information we may collect

We collect and process personal data only as far as is necessary to facilitate the recruitment process and provide you with recruitment services. We need your personal data in order to find you suitable opportunities and further information may be needed to assess your eligibility through the different stages of the recruitment process. This information may include:

  • Contact details

  • CV / application form / work history

  • Job preferences including role, geographical areas and salary

  • Work related information you provide, for example, education or training certificates and referees / references, Details of criminal convictions

  • Correspondence relating to specific vacancies including application forms and interview invitation receipts

 

We will only share the information with prospective employers where you have provided your explicit consent.

This information will not be shared with any third party.

 

The data we collect about you is obtained from the following sources:

  • Directly from you via application or registration either directly or via third party job site

  • An agent or third party such as outsourced RPO

  • Publicly available sources. We may also obtain your information from professional networking sites or job boards, where you have actively published or submitted your information.

  • Reference or word of mouth. You may be recommended by a friend, former employer or colleague.

How we use the information

The above information is used to provide our recruitment services to you in our capacity as an employment agency in order to find you suitable vacancies and process your applications. We use this information to:

  • Process your application for vacancies to which you specifically apply

  • Assess and match your skill sets with job vacancies

  • Put forward your details to our clients and prospective employers for you to be considered for vacancies

  • Keep you informed of available opportunities as they arise (only if opted in)

  • Conduct referencing if you are appointed to a position

 

We will not pass any information to a prospective employer without first obtaining your consent. We will not transfer your information outside the EU

 

How we hold the information

All the personal data we have is securely stored on our database in the UK with access control measures.

All information is subject to limited access with appropriate security measures to prevent your personal information from being accidentally lost, used or accessed by unauthorised parties.

For marketing purposes with prospective clients, we anonymise your personal information so that it can no longer be associated with you.

To clarify, contacting you about specific job opportunities is not marketing because we are not advertising or marketing our services.

Disclosure of your information

Your CV and related information (such as application forms) will be shared or sent to prospective employers and our clients without contact details. Once you have been successfully placed with a client additional information will be provided to them to enable the placement to succeed.

Legal basis for processing your data

Our legal basis for the processing of your personal data is our legitimate business interests. As a recruitment agency we introduce candidates to clients for permanent employment and fixed term employment. The exchange of personal data of our candidates and our clients is fundamental, essential part of this process.

We will in some circumstances rely on consent for particular use of your data and you will be asked for your express consent, if legally required. Examples of when consent may be the lawful basis for processing include permission to introduce you to a client (if you are a candidate).

Your rights

You have the right at any time to ask for a copy of the information about you that we hold.  If you would like to make a request for information please email fundraiser@wr-rec.uk

You have additional rights such as; erasure, correction, restriction of processing, objection and data portability.

 

Upon receipt of a request to delete an individual’s personal registration, we will ensure that your personal record is deleted within 36 hours.

Where a candidate is appointed in a permanent or contract role, we are required to retain evidence of that placing so that contractual obligations can be met by the client.

 

In the event that you wish to be erased from our Recruitment Database you should contact fundraisers@wr-rec.uk

If you do not provide the personal data requested, or use your right to withdraw your consent for the processing of your sensitive personal data, we may not be able to match you with available job opportunities.

Please note that we may require you to provide us with proof of your identity and answer security questions before processing your request and if your data is deleted we will have no record and you may be contacted again in the future. With your consent we can retain minimum information in an ‘opt out’ or ‘unsubscribe’ list to ensure you are not contacted again.

Retention of your data

We will retain your information for as long as necessary to fulfil the recruitment purposes we collected it for. If you are not registered with us we will not keep your details for any amount of time on our database without your consent. If you register with us, your details will be kept for 6 months from our last contact which includes receipt of application, interview arrangement or appointment.

You can request to have your record deleted as per instructions above.

Withdrawal of consent

If you have provided us with your consent to process data, for the purpose of using our services and us finding you suitable work, you have the right to withdraw this at any time. In order to do so you should contact us by email at fundraisers@wr-rec.uk

Changes to the Privacy Notice

This Privacy Notice may be changed at any time by us. We will provide you with a new privacy notice when we make any substantial updates. We may also notify you in other ways from time to time about the processing of your personal information.
